Order Management

Definition

The process of tracking customer orders from purchase through delivery. Includes payment processing, fulfilment, shipping, and customer communication.

What is Order Management?

Order management covers everything that happens after a customer clicks "Buy": processing the payment, picking and packing products, shipping, tracking delivery, and handling any returns or issues.

For small shops, this might be a simple email notification and trip to the post office. For larger operations, it's a complex system coordinating inventory, warehouse operations, and multiple carriers.

The Order Lifecycle

1. Order Placed

Customer completes checkout. Payment is authorised or captured.

2. Order Confirmed

System verifies payment and stock availability. Customer receives confirmation email.

3. Fulfilment

Products are picked from inventory, packed, and labelled for shipping.

4. Shipped

Order leaves your warehouse or fulfilment centre. Tracking information sent to customer.

5. Delivered

Order reaches the customer. Delivery confirmed.

6. Post-Delivery

Handle returns, refunds, reviews, and customer support.

Order Management Challenges

Multi-Channel Complexity

Selling on multiple platforms means orders arriving from different sources, all needing the same fulfilment process.

Inventory Sync

Stock must update instantly across all channels when orders are placed to prevent overselling.

Customer Expectations

Customers expect fast shipping, real-time tracking, and easy returns. Meeting these expectations requires good systems.

International Orders

Customs, duties, multiple carriers, and longer delivery times add complexity.

Order Management Systems

Platform Built-In

Shopify, WooCommerce, and other e-commerce platforms include basic order management. Fine for simpler operations.

Dedicated OMS

Software like Linnworks, Brightpearl, or ShipStation for businesses with high volumes, multiple channels, or complex operations.

ERP Integration

Larger businesses connect e-commerce to enterprise resource planning systems for complete business integration.
